1. Who We Are & What This Policy Covers

AviOps Solutions ("AviOps," "we," "us," or "our") helps ministry leaders, nonprofit leaders, and mission-driven organizations build operational strategy that works. We take the trust you place in us seriously, and that includes how we handle your information.

This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to information collected through:

Our website, aviopssolutions.com
Registration, enrollment, intake, and booking forms (including our Speaking & Training Booking Request Form)
Strategy Saturdays, the Mission-Driven Minds Strategy Group, workshops, trainings, keynotes, and other sessions, virtual or in-person
Email communications and social media lead forms

This policy works alongside the AviOps Solutions Terms, Conditions & Community Guidelines, which are also available on our website.

2. Information We Collect

Information you give us

Contact information: name, email address, and phone number.
Organization information: organization name, website or social media, organization type, and staff size.
Role information: your role in your organization (for example, leader or administrative/operations professional) and whether you make or influence decisions about outside training or consulting.
Booking and intake details: event details, audience information, budget ranges, goals, and anything else you choose to share when requesting services or completing an intake.
Communications: messages you send us by email, form, or direct message.

Payment information

Payments for paid programs, including Mission-Driven Minds Strategy Group subscriptions, are processed by our third-party payment processor, Wix Payments. AviOps Solutions does not see or store your full card number. We receive only limited details such as your name, the amount paid, billing status, and the last four digits of your card.

Session information

Recordings: Strategy Saturdays and Mission-Driven Minds Strategy Group sessions are recorded, and other sessions may be. Recordings can include your display name, image, voice, chat messages, and anything you share during the session.
Attendance: which sessions you register for and attend.

Information collected automatically

When you visit our website, our website platform may automatically collect technical information such as your browser type, device, pages visited, and general location (city or region), using cookies and similar technologies. See Section 7.

3. How We Use Your Information

We use your information to:

Deliver the programs and services you register for, including sending session links, reminders, materials, and schedule changes
Process payments and manage subscriptions
Respond to booking requests, inquiries, and support needs
Provide Mission-Driven Minds Strategy Group members with access to the replay library
Understand who our programs serve so we can improve them and create more relevant content
Send AviOps Solutions updates, insights, and offers, if you have opted in or registered for a program (you may unsubscribe at any time)
Meet our legal, tax, and accounting obligations

4. Session Recordings

Our Terms, Conditions & Community Guidelines (Section 5) explain in full how recordings are made and used. In short, recordings are:

Made available as replays to program members (Mission-Driven Minds Strategy Group members have access to the full replay library while their subscription is active)
Used internally for quality and program improvement
Used in marketing only in limited form: clips of the host speaking and screenshots of the virtual meeting room

Participants' voices and video will not be used in marketing clips without their permission. If you appear in a marketing screenshot and would like to be removed or blurred, email us within 7 days of the session.

5. How We Share Your Information

We do not sell, rent, or trade your personal information.

We share information only in these limited situations:

Service providers. We use trusted third-party tools to run our business, and they process information on our behalf only as needed to provide their services. These include: Wix (website, registration, payments, email marketing, and site analytics), Google Analytics (website traffic and search optimization), Zoom and Google Meet (virtual sessions and recordings), and Google Workspace (email, forms, file storage, email marketing, and data analysis).
Program members. Session recordings are shared with members of the relevant program, as described in Section 4.
Legal requirements. We may disclose information if required by law, subpoena, or other legal process, or to protect the rights, safety, or property of AviOps Solutions, our participants, or others.

6. Please Protect Sensitive Information

Our sessions are designed for general operational and leadership guidance. Please do not submit through our forms, or share during recorded sessions, sensitive information such as donor or member personal records, personnel or HR matters involving named individuals, pastoral care details, health information, or financial account numbers.

7. Cookies & Website Analytics

Our website is hosted on Wix, which uses cookies and similar technologies to operate the site, remember preferences, and provide analytics about how visitors use it. You can control or block cookies through your browser settings, although some parts of the site may not work as expected if you do. We also use Google Analytics, connected through Wix, to understand site traffic and improve search visibility. Google may collect information such as your IP address, device, and activity on our site. You can learn how Google uses this information at policies.google.com/technologies/partner-sites, and you can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on. Our website does not currently respond to browser "Do Not Track" signals.

8. How Long We Keep Your Information

We keep personal information only as long as needed for the purposes described in this policy, unless a longer period is required by law:

Contact and registration information: for as long as you remain on our email list or enrolled in a program, and up to 3 years after your last interaction.
Mission-Driven Minds Strategy Group replays: member access ends when a subscription ends. AviOps Solutions keeps session recordings for program and internal use for as long as the program is active.
Strategy Saturday recordings: kept for internal use for up to 12 months.
Payment and transaction records: kept as required for tax and accounting purposes (generally up to 7 years).

9. How We Protect Your Information

We use reasonable administrative and technical measures to protect your information, including limiting access to the people and tools that need it and using reputable platforms with their own security safeguards. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

10. Your Choices

Unsubscribe: You can opt out of marketing emails at any time using the unsubscribe link in any email. Program-related emails, such as session links and schedule changes, will continue while you are enrolled.
Access, correction, and deletion: You may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it by emailing aviops@operationalculture.com. We will respond within 30 days. Some information may need to be kept for legal, tax, or accounting reasons, and removing yourself from a past recording may not always be possible, but we will tell you what we can and cannot do.

11. Children's Privacy

Our programs and website are designed for adults and are not directed to anyone under 18. We do not knowingly collect personal information from children. If you believe a child has submitted information to us, contact us and we will delete it.

12. Third-Party Links & Platforms

Our website, emails, and social media may link to other websites or platforms that we do not control. Their privacy practices are governed by their own policies.

13. Changes to This Policy

We may update this Privacy Policy from time to time. The effective date at the top of this page reflects the most recent version. If we make significant changes, we will notify enrolled participants by email.
